Preparing for Your Building Turnover Video Training
To ensure your building turnover library is professional, comprehensive, and effective at eliminating future call-backs, preparation is key. Because the General Contractor holds the primary relationship and leverage with subcontractors, the GC must be the one to schedule and coordinate all walkthroughs.
- Coordinate with Subs: Schedule each subcontractor for a specific time slot (e.g., HVAC at 9:00 AM, Electrical at 10:30 AM).
- Buffer Time: Allow 15 minutes between sessions for the video crew to move equipment between locations.
- Mandatory Attendance: Ensure the facility manager or building owner’s representative is present to ask "real-world" questions on camera.
- Noise Control: Schedule loud activities (drilling, grinding) away from the training area. Audio clarity is vital for training!
- Access: Ensure all mechanical rooms, electrical closets, and roof hatches are unlocked and accessible before the film crew arrives.
- Safety/PPE: All participants must be in proper PPE to ensure the video remains a compliant safety record.
Instruct your subcontractors to arrive prepared for the following:
- Functional Demos: Be ready to physically operate equipment (start/stop, reset, open panels).
- Critical Components: Have "Main Shut-offs" and "Reset Buttons" clearly identified before the camera rolls.
- The "Cheat Sheet": Ask the sub to list the top 5 most common maintenance questions they get called back for—we will answer them on camera.
- Digital O&Ms: Have all O&M manuals, warranties, and schematics ready in PDF format.
- Index Alignment: Provide a list of equipment being filmed so we can "pin" these PDFs to the correct video.
Why the General Contractor Must Lead the Charge
As the GC, you have the rapport and the leverage to ensure subcontractors take this training seriously. When you manage the schedule, it signals to the Owner and the Subs that this is a high-value project milestone, not an afterthought.
The Result: A professional, searchable digital asset that gets your team off-site faster and keeps you from managing a building you’ve already finished.
